Who we are
Innkeeper is a property management system for small hotels, inns, guesthouses and B&Bs, operated under the Innkeeper brand at innkeeper.ai. For any question about this policy or your data, write to [email protected].
Data we collect
- Account data: your work email address, the confirmation code we send to it, and optionally the number of rooms at your property and the plan you are interested in.
- Usage data: pages visited on innkeeper.ai, the page or button that led you to sign up, campaign parameters in the link you followed, the referring website, your IP address and browser type.
- Property data: once you use Innkeeper for your property, the rooms, rates, reservations, invoices and staff logins you enter.
- Guest data: the names, contact details, stay details and invoices of your guests that you or your connected channels place in Innkeeper.
- Messages: the content of emails you send to [email protected].
The demo on our website runs in your browser. What you type into the demo is not sent to us or stored by us.
How we use data
- To create your account and confirm your email address.
- To provide the service, including syncing availability with the channels you connect and sending the guest emails you set up.
- To send you service messages about your account, such as next steps, billing and security notices.
- To keep the service secure, prevent abuse and fix errors.
- To understand which pages help visitors decide, using counts rather than profiles.
We do not sell personal data and we do not use guest data for our own marketing.
Guest data belongs to your property
For guest data, your property decides why and how it is processed, and Innkeeper processes it on your behalf and on your instructions. You can export or delete guest data at any time. A data processing agreement is available on request.
Legal bases
Where the law requires a legal basis, we rely on the performance of our contract with you, our legitimate interest in running and securing the service, your consent where we ask for it, and legal obligations such as keeping billing records.
Who we share data with
We share data only with service providers who help us run Innkeeper, such as hosting, email delivery and payment processing, and only to the extent they need to do that job. Channels you connect, such as Booking.com or Airbnb, receive the availability and rates you choose to send them. We disclose data to authorities only where the law requires it.
How long we keep data
- Unconfirmed signups are deleted after 30 days.
- Account and property data are kept while your account is active and deleted within 90 days after it is closed, unless you ask for earlier deletion.
- Billing records are kept for as long as tax law requires.
Security
Data is encrypted in transit and at rest, backed up regularly, and access is limited to people who need it. Read more on our hotel PMS security page.
Your rights
Depending on where you live, you may have the right to access, correct, delete, restrict or port your personal data and to object to its processing. To use any of these rights, write to [email protected] from the address linked to your account. You may also complain to your local data protection authority.
Cookies
We use cookies needed to run the website and keep your session secure. We do not use advertising cookies.
Changes to this policy
When we change this policy, we update the date at the top of this page, and we tell account holders by email about material changes.
