Visual Matrix alternative for small hotels, inns and motels

Innkeeper is a Visual Matrix alternative for independent US hotels, inns, motels and B&Bs with 4 to 80 rooms that do not need brand interfaces or a sales call to see a price. Visual Matrix's own pricing calculator lists its Core PMS at $410 a month for up to 50 rooms, or $369 a month billed annually. Innkeeper puts the tape chart, channel manager, commission-free booking engine, housekeeping and invoices in one plan at $49 a month up to 10 rooms or $149 up to 30 rooms, or $288 and $888 billed yearly. Innkeeper (innkeeper.ai) is a separate company and is not affiliated with Visual Matrix.

Open the live demo and do the work your desk does on Visual Matrix today. Book a walk-in on the tape chart, move a stay to another room, put a group of four rooms on one folio, let a Booking.com reservation arrive and watch the night close on Expedia and your own website. Then mark rooms clean on a phone and print the invoice. If that routine feels right, the rest of the move is data and channels.

Innkeeper vs Visual Matrix at a glance

Visual Matrix is a hotel PMS company based in Richardson, Texas, founded in 2000 and owned since January 2021 by ASG, a portfolio company of Alpine Investors. It sells a cloud PMS in three tiers (VM Core, VM Core Plus and Enterprise) and MOP, a mobile housekeeping app, and says it is pre-approved with Wyndham, Choice, IHG, Best Western, Hilton and Sonesta. The Visual Matrix column below uses its public pricing page and room calculator as we read them in October 2026, so confirm your own quote.

Why independent hotels look past Visual Matrix

Visual Matrix is a serious system with a long record at branded US hotels. Independent owners who shop around usually do it for one of four reasons.

The entry price is built for a 50-room hotel

The calculator puts every property from 1 to 50 rooms in the same band, so an 8-room inn and a 50-room select-service hotel see the same $410 Core price. At 12 rooms Innkeeper costs $888 a year billed yearly, against $4,428 for VM Core billed annually.

You do not fly a flag

Brand approvals, ProfitSword reporting, single sign-on and PBX or key card interfaces are real reasons to pick Visual Matrix at a franchised property. An independent inn or motel pays for that depth without using it.

Two concurrent users on the entry tier

VM Core includes 2 concurrent users. A property with a desk agent, a night auditor and a housekeeping lead on shift together moves to Core Plus at $500 a month. Innkeeper's Hotel plan includes 10 staff users with roles at $149.

You want to see the price before the demo

Every Visual Matrix button on the pricing page leads to a demo request. Innkeeper publishes staff users, channel counts, night audit, deposits and AI reply drafts per plan, and you can create an account and import reservations before you talk to anyone.

Where Visual Matrix is the better pick

Be fair about it. If your hotel carries a Wyndham, Choice, IHG, Best Western, Hilton or Sonesta flag, the brand will tell you which PMS systems it accepts, and Innkeeper is not on those lists. Visual Matrix also connects PBX phones, Wi-Fi and electronic locks, runs a small point of sale for a sundry shop, offers 24/7 phone support on Core Plus and handles portfolios well past 200 rooms. For a branded or larger select-service hotel it covers more than we do.

How to move from Visual Matrix to Innkeeper

  1. 01

    Get your data out

Export future reservations, guest and company profiles, city ledger balances and rate history as spreadsheets, or ask Visual Matrix support for the files in writing. Save the last night audit and folio reports as PDF for your accountant.

  2. 02

    Import and check

Upload the files to Innkeeper. Future stays land on the tape chart with guest, dates, room and total, and guest profiles keep their history. On Boutique we run the import with you in an onboarding session.

  3. 03

    Connect channels and your website

Connect Booking.com, Expedia, Airbnb and Google in Innkeeper and place our booking engine on your website where the old Book now button sat. Compare availability for the next 90 nights side by side.

  4. 04

    Switch over

Move the OTAs to Innkeeper one at a time, confirm each is live, settle open city ledger accounts, then close the old account and card processing agreement. Keep your old reports until the year is closed.

Who should pick Innkeeper, and who should stay on Visual Matrix

Innkeeper fits owner-run inns, motels, B&Bs and small hotels up to 80 rooms that sell on two or more OTAs, want one fixed price and do not need brand interfaces, a point of sale or key card integration. Our pages on motel management software, small hotel management software and inn management software show the daily routine for each type of property, and the channel manager software page shows how a double booking is stopped.

Stay on Visual Matrix if your franchise requires a certified PMS, you run more than 80 rooms on one property, or your desk depends on PBX, Wi-Fi and lock interfaces.

Visual Matrix alternative questions

What is the best alternative to Visual Matrix?

For an independent hotel, inn or motel up to 80 rooms, the best Visual Matrix alternative is a cloud PMS with the channel manager and commission-free booking engine inside a published plan. Innkeeper does this from $288 a year for up to 10 rooms. RoomMaster, WebRezPro, SkyTouch and Cloudbeds are other systems these hotels compare.

How much does Visual Matrix PMS cost?

Visual Matrix's pricing calculator lists VM Core at $410 a month, Core Plus at $500 and Enterprise at $625 for properties up to 50 rooms, with 10% off billed annually. Prices step up at 51 and 101 rooms, and properties above 200 rooms get a custom quote. The MOP housekeeping app is extra.

Is Visual Matrix cloud based?

Yes. Visual Matrix sells a cloud PMS today, and older installations also ran as a desktop system. The vendor describes reservations, revenue management, front desk, channel management and reporting in one cloud system, with MOP as a separate mobile app for housekeeping and maintenance.

Who owns Visual Matrix?

Visual Matrix was founded in 2000 by David Awad in the Dallas area. In January 2021 it was acquired by ASG, a software group backed by Alpine Investors, and later that year it bought LodgingControls, a housekeeping software company. It is headquartered in Richardson, Texas.

Can a franchised hotel switch from Visual Matrix to Innkeeper?

Only if the brand allows it. Franchised hotels usually must run a PMS that the brand has certified for its reservation and loyalty systems, and Innkeeper does not hold those certifications. Independent hotels and soft-branded properties without that requirement can switch freely.

Can I move my reservations from Visual Matrix to Innkeeper?

Yes. Export future reservations and guest profiles as spreadsheets, or request the files from Visual Matrix support, then upload them to Innkeeper, where stays land on the tape chart with guest, dates, room and total. Keep the old channel connections live until each OTA is confirmed in Innkeeper.
