Visual Matrix pricing and what the PMS costs a hotel per year
Visual Matrix pricing is published as a room calculator. VM Core costs $410 a month for a property with up to 50 rooms, Core Plus $500 and Enterprise $625, with 10% off when you pay annually. Prices step up at 51 rooms and again at 101, and anything above 200 rooms is a custom quote. Billed annually, a hotel of 50 rooms or fewer pays $4,428 a year for VM Core. The same 12-room property pays $888 a year on Innkeeper's Hotel plan, with the channel manager and booking engine included.
How much does Visual Matrix cost?
Visual Matrix charges by tier and room band. The headline on its pricing page says VM Core starts at $378 a month, Core Plus at $450 and Enterprise at $506, all billed annually. When you type in a room count, the calculator returns these monthly list prices, with 10% off for annual billing:
| Rooms | VM Core | VM Core Plus | Enterprise |
|---|---|---|---|
| 1 to 50 | $410 ($369 billed annually) | $500 ($450 billed annually) | $625 ($562 billed annually) |
| 51 to 100 | $500 ($450 billed annually) | $595 ($535 billed annually) | $785 ($706 billed annually) |
| 101 to 200 | $595 ($535 billed annually) | $690 ($621 billed annually) | $940 ($846 billed annually) |
| 201 and up | Custom quote | Custom quote | Custom quote |
We read these figures from visualmatrix.com/pricing in October 2026. Enterprise is marked as an estimate based on the interfaces you need, and every button on the page leads to a demo request, so the signed number can differ. Innkeeper is a separate company and is not affiliated with Visual Matrix.
What each Visual Matrix tier includes
Visual Matrix is a Texas PMS company founded in 2000 and owned since January 2021 by ASG, a software group backed by Alpine Investors. It says it is pre-approved with Wyndham, Choice, IHG, Best Western, Hilton and Sonesta, which explains a lot about how the tiers are built.
VM Core covers the front desk basics: 2 concurrent users, reservations and group management, city ledger and direct billing, housekeeping, maintenance and preventive maintenance, rate and discount management, a one-button paperless night audit, a credit card processing and EMV interface, training videos and 24/7 online and email support.
VM Core Plus adds unlimited concurrent users, VM Revenue Management Live (automatic rate monitoring with a three-tier ranking), VM MiniPOS for a sundry shop or lounge, CRM and accounting interfaces and 24/7 telephone support.
Enterprise adds integrations and customizations: standard hardware interfaces for PBX phones, Wi-Fi and electronic locks, single sign-on and a ProfitSword interface for owners and operators.
Two things are not named in any tier list on the pricing page: a channel manager and a booking engine. The Visual Matrix homepage describes distribution as native to the cloud PMS, so ask the sales team in writing which OTA connections and which website booking engine are inside your quote, and at what cost.
MOP housekeeping app pricing
MOP is Visual Matrix's mobile app for housekeeping and maintenance teams: task assignment, room status, inspections, deep clean checklists, preventive maintenance, lost and found and a panic button that records and sends the staff member's location. The pricing page lists it from $97 a month billed annually, which is $1,164 a year, and says PMS customers who add MOP get an extra 20% off. MOP also works with other PMS systems.
For a select-service hotel with 8 or more room attendants, a panic button that meets city hotel worker safety ordinances can be a requirement, not an extra. For a 12-room inn where the owner checks rooms personally, it is a second bill for a job the PMS can already do.
Visual Matrix cost per year by room count, next to Innkeeper
The table uses the calculator's annual billing figures for Visual Matrix and Innkeeper's published plans. It leaves out MOP, card processing and any channel manager fees, which apply on top on either side where you need them.
| Rooms | VM Core | VM Core Plus | Innkeeper billed yearly | Innkeeper paid monthly |
|---|---|---|---|---|
| 8 | $4,428 | $5,400 | $288 (Inn) | $588 (Inn) |
| 12 | $4,428 | $5,400 | $888 (Hotel) | $1,788 (Hotel) |
| 24 | $4,428 | $5,400 | $888 (Hotel) | $1,788 (Hotel) |
| 45 | $4,428 | $5,400 | $2,988 (Boutique) | $5,988 (Boutique) |
| 80 | $5,400 | $6,420 | $2,988 (Boutique) | $5,988 (Boutique) |
Read it honestly. Visual Matrix prices the same for 1 room or 50, so the smaller the property, the bigger the gap: an 8-room inn pays about 15 times more on VM Core than on Innkeeper's Inn plan. At 45 rooms, Innkeeper paid monthly costs more than VM Core billed annually, and only the yearly plan is cheaper. Above 80 rooms on one property, or at any branded hotel, Visual Matrix is the system built for the job and Innkeeper is not. Our Visual Matrix alternative page sets the features side by side.
Costs outside the subscription
The subscription is only part of the bill. Visual Matrix runs cards through a processing and EMV interface, so ask which processors are supported, whether you must change processor, and the effective rate on your real card mix including corporate cards. On a 30-room hotel with $700,000 a year in room revenue, a 0.3 point difference in card rate is $2,100 a year, which is more than most small-hotel PMS plans.
Then count the users. VM Core allows 2 concurrent users. If a desk agent, a night auditor and a manager are logged in together, you need Core Plus, which adds $972 a year at 50 rooms or fewer.
Finally, the back office. Visual Matrix's city ledger and direct billing let you invoice companies, tour operators and sports teams after checkout. Whatever system holds those invoices, the money only arrives if someone follows up, and many small hotels now chase unpaid direct-bill invoices by email and text automatically instead of leaving them to the night auditor.
Questions to ask before you sign a Visual Matrix quote
- What is the monthly price at my exact room count, and is it VM Core, Core Plus or Enterprise?
- Which OTA connections and which booking engine are included, and what do they cost?
- How many staff will be logged in at the same time on a busy night?
- Is there a setup, training or data migration fee?
- How long is the term, and what does it cost to leave early?
- Do I have to change card processor, and what is the effective rate on my card mix?
- Can I export reservations, guest profiles and folios at any time, and in what format?
The second and third questions change the bill the most for a small property. Our guide on how to choose a PMS for a small hotel adds the daily checks, from night audit to housekeeping.
Where Innkeeper fits on price
Innkeeper is a cloud PMS for owner-run inns, motels, B&Bs and small hotels up to 80 rooms. Every plan is on the hotel PMS pricing page: Inn at $49 a month for up to 10 rooms, Hotel at $149 for up to 30 rooms and Boutique at $499 for up to 80 rooms, or about half that billed yearly. The tape chart, channel manager software, commission-free booking engine, housekeeping and invoicing are in every plan, with no setup fee, no booking commission and no lock-in. Night audit, the two-way channel manager and online deposits start on Hotel.
We do not sell brand interfaces, a point of sale, PBX or key card integration, and Innkeeper is not certified for franchise brand systems. If you run a motel, our motel management software page shows the walk-in and OTA routine in detail.
Visual Matrix pricing questions
Does Visual Matrix publish its pricing?
Yes, partly. The Visual Matrix pricing page has a room calculator that shows VM Core, Core Plus and Enterprise prices for up to 200 rooms, monthly or billed annually. Enterprise is marked as an estimate based on your interfaces, properties above 200 rooms get a custom quote, and every purchase goes through a demo with sales.
Is Visual Matrix cheaper if I pay annually?
Yes. Visual Matrix takes 10% off every tier when you pay annually. For a hotel up to 50 rooms, VM Core drops from $410 to $369 a month, which saves $492 a year. Core Plus drops from $500 to $450 and Enterprise from $625 to $562 a month.
How much is Visual Matrix MOP?
MOP, the Visual Matrix housekeeping and maintenance app, is listed from $97 a month billed annually, or $1,164 a year. Visual Matrix PMS customers get an extra 20% off. MOP also works with other PMS systems, so you can use it without Visual Matrix PMS.
What is the cheapest Visual Matrix plan?
VM Core is the cheapest Visual Matrix plan, at $410 a month or $369 a month billed annually for properties up to 50 rooms. It includes 2 concurrent users, reservations, city ledger, housekeeping, night audit and a card processing interface. Unlimited users and revenue management need Core Plus.
Is there a cheaper alternative to Visual Matrix for a small hotel?
For an independent property up to 30 rooms, Innkeeper billed yearly costs $288 a year up to 10 rooms and $888 up to 30, with the channel manager and booking engine included. That is far below VM Core at $4,428 a year, though branded hotels must use a PMS their brand certifies.
