HotelKey pricing and what a small hotel pays per year
HotelKey does not publish its pricing, so you only get a number by asking for a quote. Third-party sites estimate a basic license near $300 a month for a small property, one comparison site lists $800 a month, and ITQlick puts a first year total for ten users between $6,000 and $25,000 once onboarding is added. Innkeeper publishes every plan: an 8 to 30 room property pays $888 a year on the Hotel plan with the booking engine, channels and deposits included.
How much does HotelKey cost?
There is no price list to read. HotelKey sells tiered plans, but the features and prices of each tier are available only through its sales team. These are the figures that circulate, with their source, so you can see how far apart they are:
| Source | Figure | What it covers |
|---|---|---|
| ITQlick estimate | About $300 a month for a basic license, small hotel | License only, labelled an estimate |
| ITQlick estimate | $3,600 to $18,000 a year | License range across hotel sizes |
| ITQlick estimate | $6,000 to $25,000 first year, 10 users | License, onboarding and possible extra fees |
| Comparison site listing | $800 a month | No details on what is included |
| Marketplace listing for a 5 room property | About $24 to $80 a month | Basic PMS up to a bundle with booking engine and channel manager, from an older aggregator |
None of these come from HotelKey itself, and they disagree by more than ten times, so treat them as a reason to ask questions, not as a quote. We read these sources in October 2026. Innkeeper is a separate company and is not affiliated with HotelKey.
What you are buying
Listings describe HotelKey as a cloud hotel management platform for small to large hotels covering online booking, front desk, housekeeping and revenue management, with a mobile manager app for room closures and rate updates. A 2021 industry announcement said its central reservation offering includes a booking engine and direct connections to Expedia, Booking.com, Google, Agoda and TripAdvisor, and that it served about 2,500 hotels.
That is a real suite, and for a larger property the breadth can justify a custom quote. For a 10 to 30 room inn the question is different: which of those pieces do you use every day, and which would you pay for but never open. Revenue management matters when you run hundreds of rooms and several rate plans. At 14 rooms with two OTAs, the tape chart, channel sync, housekeeping board and invoices carry nearly all the value.
The costs to ask about before you sign
Review sites report that implementation, customization, training and migration are quoted separately from the license, and that add-on modules, integration fees and user limits can raise the bill. Ask HotelKey for each of these in writing:
- The monthly or yearly license for your room count, and how it changes if you add rooms.
- Onboarding, data migration and training, as a single figure.
- The booking engine and channel manager, and whether channels are charged per connection.
- Included staff users and the price of each extra user.
- Card processing, deposit tools and any per-transaction fee.
- The contract term, renewal terms and the notice period to cancel.
- Support hours, and whether phone support is part of the plan.
Reviews also report no free trial and no free version, so the first look at the product is a sales demo. The one question that settles the comparison is the 12 month total: license, onboarding and every module you need to sell rooms online.
HotelKey cost per year by room count, next to Innkeeper
HotelKey has no price list, so the column below uses the middle of the public estimates, a license near $300 a month (about $3,600 a year) plus onboarding at the low end of ITQlick's first year range. It is a planning figure only. Your quote may be lower or higher.
| Rooms | HotelKey estimate, year one | Innkeeper billed yearly | Innkeeper paid monthly |
|---|---|---|---|
| 8 | About $6,000 | $288 (Inn) | $588 (Inn) |
| 20 | About $6,000 | $888 (Hotel) | $1,788 (Hotel) |
| 30 | About $6,000 | $888 (Hotel) | $1,788 (Hotel) |
| 50 | About $6,000 | $2,988 (Boutique) | $5,988 (Boutique) |
| 80 | About $6,000 | $2,988 (Boutique) | $5,988 (Boutique) |
Read it honestly. Up to 30 rooms, Innkeeper billed yearly costs a fraction of the low estimate, and an 8-room inn can run on the Inn plan at $288 a year. At 50 to 80 rooms the gap narrows, and if HotelKey quotes you well under the estimate for a larger property, that quote may win. Our HotelKey alternative page sets the features side by side.
Where Innkeeper fits on price
Innkeeper is a cloud PMS for owner-run inns, motels, B&Bs and small hotels up to 80 rooms. Every plan is on the hotel PMS pricing page: Inn at $49 a month for up to 10 rooms, Hotel at $149 for up to 30 rooms and Boutique at $499 for up to 80 rooms, or about half that billed yearly. The tape chart, channel sync, commission-free hotel booking engine, housekeeping and invoicing are in every plan, with no setup fee, no booking commission and no lock-in. Online deposits, the two-way channel manager software and night audit start on Hotel.
The booking button on your site matters as much as the PMS behind it. If your website is dated, an AI website builder can produce a new one in an afternoon, and our booking engine drops into it. We do not offer an open API, GDS connections or revenue management for hundreds of rooms. If you run a B&B, our bed and breakfast software page shows the daily routine in detail.
HotelKey pricing questions
Does HotelKey publish its pricing?
No. HotelKey does not list plans or prices on its website, and review sites tell buyers to contact the vendor for a quote. Implementation, customization, training and data migration are quoted separately, so ask for a 12 month total before you compare it with any published price.
How much does HotelKey cost per month?
There is no official monthly price. ITQlick estimates about $300 a month for a basic license at a small hotel, another comparison site lists $800 a month, and an older marketplace listing shows $24 to $80 for a 5 room property. Use these only as questions for your quote.
Does HotelKey have a free trial?
Review sites report that HotelKey offers neither a free trial nor a free version. You would see the product through a sales demo. Innkeeper has a live demo you can open without a sales call, and plans with no lock-in.
Is HotelKey cheaper than Innkeeper?
For a property up to 30 rooms, the public estimates put HotelKey well above Innkeeper's $888 a year on the Hotel plan billed yearly. HotelKey may quote lower for a particular property, so get the written 12 month total before you decide.
What is a cheaper alternative to HotelKey for a small hotel?
For an inn, B&B, motel or small hotel up to 80 rooms, a cloud PMS with a published price and the booking engine and channels inside the plan is the cheaper route. Innkeeper starts at $288 a year for up to 10 rooms, and Hotel at $888 a year covers up to 30.
