Motel software pricing and what a motel PMS costs per year by room count
Motel software pricing for an independent US motel runs from about $900 to $3,000 a year at 12 rooms and from about $900 to $5,500 a year at 30 rooms once the channel manager and booking engine are counted. The headline monthly price is rarely the bill. What moves the total is whether OTA connections are included, whether you pay per room or per property, and what the vendor charges for setup and support.
How much does motel management software cost?
Most cloud motel PMS plans cost $100 to $300 a month for 10 to 40 rooms. Per-room vendors such as WebRezPro and innRoad charge about $10 per room with a $100 or $150 monthly minimum. Desktop software such as InnSoft Check-Inn sells a one-time license from $899 plus a $660 yearly service contract. Innkeeper costs $49 a month up to 10 rooms and $149 a month up to 30 rooms, channels included, or $288 and $888 billed yearly.
Yearly motel PMS cost at 12 rooms
A 12-room motel is the typical owner-run roadside property: one person on the desk most of the day, a part-time housekeeper, and a big share of nights sold on Expedia and Booking.com. The table counts the PMS plus what you need to sell on those two OTAs, because that is the setup almost every motel runs. Prices come from each vendor's own pricing page where one exists and from software directories where it does not, as noted in each row.
| System | Pricing model | Year one at 12 rooms | What is not in that number |
|---|---|---|---|
| Innkeeper | $149 a month on Hotel (up to 30 rooms), $888 billed yearly, published | $888 yearly or $1,788 monthly | Card processing |
| INNsight | $99 a month all-in-one PMS with channel manager and booking engine, published | about $1,188 | INNsightPay at $25 a month plus $0.10 per transaction if you use it |
| WebRezPro | $10 per unit a month, $100 minimum, published | $1,440 | A third-party channel manager subscription |
| innRoad | Reported about $10 per room a month with a $150 minimum | about $1,800 for the core PMS | Channel management and online check-in, sold as separate products |
| RoomMaster | Quote based, reported from about $150 a month per property | about $1,800 and up | Card processing, any extra modules in your quote |
| InnSoft Check-Inn | $899 license, $660 yearly contract, channel manager from $100 a month, booking engine from $50 a month, published calculator | about $3,029, then about $2,460 a year | The desk PC, backups, hardware such as ID scanners |
Two things stand out. INNsight and Innkeeper are the only rows where the channel manager is in the base price, and Check-Inn is cheap only until you connect an OTA, because the service contract becomes mandatory for any online travel connection. The full Check-Inn math is in our Check-Inn PMS pricing breakdown.
Yearly motel PMS cost at 30 rooms
At 30 rooms the per-room vendors pull away from flat plans. The same channel and booking engine setup looks like this.
| System | Year one at 30 rooms | How it is calculated |
|---|---|---|
| Innkeeper | $888 yearly or $1,788 monthly | Hotel plan covers up to 30 rooms with unlimited channels |
| INNsight | about $1,188 | $99 a month, before the optional payment gateway |
| WebRezPro | $3,600 plus a channel manager | 30 units at $10 a month |
| innRoad | about $4,200 to $5,400 | Core PMS plus channel management and online check-in, as reported in our innRoad pricing breakdown |
| InnSoft Check-Inn | about $3,849, then about $3,180 a year | $999 license for 26 to 50 rooms, $330 for the first contract year, channel manager $150 a month, booking engine $60 a month |
| SkyTouch Hotel OS | about $2,400 to $7,200 plus onboarding | Reported $200 to $600 a month to start, onboarding reported at $1,000 to $5,000 |
A 31st room changes the picture for flat plans: Innkeeper moves to Boutique at $499 a month, or $2,988 yearly, for up to 80 rooms. Per-room vendors keep rising in a straight line, which is fairer to a 34-room motel and more expensive for a 60-room one.
What actually decides your motel software bill
Per room or per property
Per-room pricing, the WebRezPro and innRoad model, tracks your size exactly. Flat plans, the Innkeeper, INNsight and RoomMaster model, cost the same whether the motel has 12 or 28 rooms. If you sit just above a plan limit, per-room pricing usually wins. If you sit near the bottom of a band, flat pricing does.
Whether the channel manager is inside
Motels sell a large share of last-minute nights on OTAs, so the channel manager is not optional. When a vendor lists it separately, add $50 to $200 a month to the headline price. Ask for the channel fee in writing, per channel and per room band.
Booking engine commission
Some booking engines charge a percentage of each direct booking. A 3 percent commission on $60,000 of direct revenue is $1,800 a year, which can be more than the PMS itself. Innkeeper's booking engine on your own website takes no commission.
Setup, onboarding and contracts
Quote-based vendors often add a one-time onboarding fee and a 12 or 24 month term. Directories report SkyTouch onboarding at $1,000 to $5,000. Ask whether the price is month to month, what happens to your data if you leave, and whether the first-year price is a promotion.
Card processing
Almost every PMS earns money on payments, either through its own gateway or a partner. Compare the effective rate on your real card mix, not only the software line, because on a motel doing $400,000 a year in room revenue a 0.3 point difference is $1,200.
Costs motel owners miss when they compare quotes
The desk computer matters with desktop software: a failed PC can take the reservation book with it, and Innsoft's own support article asks properties to copy files to a USB drive every day. Remote access for checking arrivals from home is another setup cost with desktop systems, while a cloud PMS opens in a browser on your phone.
Accounting is the other gap. Few motel systems post straight into your books, so most owners export the daily report and rebuild a monthly P&L by hand. If you already keep books in a spreadsheet or an accounting package, a tool that can turn that bookkeeping export into a monthly P&L saves the evening your accountant would otherwise bill you for.
Last, count staff time. A system that needs a 2 hour training session per new desk clerk costs real money at a motel where front desk turnover is high.
Questions to ask any motel PMS vendor before you sign
- What is the total yearly price at my exact room count, with Booking.com, Expedia and Airbnb connected?
- Is there a setup or onboarding fee, and is the price month to month or a fixed term?
- Does the booking engine charge a commission on direct bookings?
- What does card processing cost on my card mix, and can I use my own processor?
- Can I export my reservations and guest history if I leave, and in what format?
- Does the price change when I add rooms, a second property or another staff user?
Our guide on how to choose a PMS for a small hotel adds the operational questions, from night audit to housekeeping.
Where Innkeeper fits on price
Innkeeper is built for owner-run motels, inns and small hotels up to 80 rooms, with every plan published on the hotel PMS pricing page: Inn at $49 a month for up to 10 rooms, Hotel at $149 for up to 30 and Boutique at $499 for up to 80, with half price billed yearly. The channel manager, the commission-free booking engine, housekeeping and invoicing are in every plan, with no setup fee and no lock-in. Night audit and the daily occupancy, ADR and RevPAR report start on Hotel.
Be fair about the limits. Innkeeper does not sell card key lock interfaces, ID scanners or GDS connections, and it does not fit a franchise motel that must run a brand-mandated PMS. INNsight is cheaper than our Hotel plan paid monthly, and Check-Inn can be cheaper for a motel that sells almost nothing online. Our motel management software page shows how a walk-in, an Expedia booking and a room turn work in one calendar.
Motel software pricing in short
- A 12-room motel selling on OTAs pays about $900 to $3,000 a year depending on the vendor and billing term.
- A 30-room motel pays about $900 to $5,500 a year, with per-room vendors at the top of that range.
- The channel manager, booking engine commission and onboarding fees decide the real total more than the headline price.
- Desktop licenses are cheapest only for motels that sell mostly walk-in and phone nights.
