RoomKey PMS pricing and what an independent hotel pays per month

RoomKey PMS pricing is quote-based. RoomKey publishes no price list and sets each quote after a demo, based on room count, the bundle and add-ons. Third-party estimates put it at about $8 to $14 per room per month, so a 20-room hotel pays roughly $200 to $300 a month for the core system and a 50-room hotel with add-ons about $650 to $850.

How much does RoomKey PMS cost?

RoomKey PMS costs about $200 to $300 a month for a 20-room hotel, about $650 to $850 for a 50-room hotel with add-ons, and about $1,300 to $1,500 for a 100-room property, according to RoomMaster's published estimate. RoomKey itself lists no prices. Its pricing page shows example bundles for small, midsize and large or chain hotels and sends you to a demo for a quote.

On top of the monthly fee, onboarding and data migration are project-based, and rate shopping, third-party interfaces, channel connections and payment processing are reported as separate lines. What a RoomKey PMS quote usually covers, and what costs extra

RoomKey sells a cloud PMS plus a set of products it can bundle into one quote. This table follows RoomKey's own product list and the cost notes in RoomMaster's review.

Hotel Tech Report lists RoomKey pricing as available by request only. Ask for each line in writing, because the same property can receive different bundles from different reps.

The honest read: at 12 rooms the gap is small, and above 80 rooms on one property RoomKey is built for a size we do not serve. Between about 15 and 80 rooms, a published plan with channels included usually costs less per month and has no onboarding project to pay for.

Other costs to check before you sign

Onboarding and migration

RoomKey treats onboarding as a project. Ask for the fixed fee, what data moves (future reservations, guest profiles, open folios, history), and who checks the import before go-live.

Interfaces you already run

Each connection to a revenue system, door lock, point of sale or accounting tool is an interface line. List every system you use today and ask for a price per interface, per month and one time.

Payment processing

RoomKey offers embedded payments under its own processing agreement. Compare the card rate and monthly minimums with your current merchant account. When processors change, deposits arrive in different batches, and bank reconciliation software that matches each deposit to your books saves the month-end search for a missing payout.

Renewal terms

Read the term length, auto-renewal and price increase clauses in the quote before you sign, and note the notice period you need to leave.

RoomKey is a strong fit for a 100-room property, a franchise hotel with a brand interface or a group that needs central reservations. Its support team gets strong reviews.
